Privacy Policy

This Privacy Policy explains how PoolQuote Pro (“PoolQuote Pro”, “we”, “us”, or “our”) collects, uses, and discloses information when you use our platform, website, and related services (the “Service”). It also describes your rights and how to contact us.

1. The Two Types of Data We Handle

Because we’re a B2B platform for pool builders, we handle two distinct categories of personal information:

• Customer data (our direct users): information about the pool builders who sign up for an account — name, email, phone, company, billing details, and usage data.
• End-user data (your customers’ information): information our users upload about their homeowners, leads, subcontractors, and projects. We process this data on behalf of our users as a data processor.

2. Information We Collect

2.1 Account information

When you create an account we collect:

• Full name, email address, phone number
• Company name and address
• Password (stored as a hash by our authentication provider)
• Billing information (processed by LemonSqueezy)

2.2 Content you upload

When using the Service you may upload content including customer records, quotes, contracts, photos, pricing items, and other business data. We store this content on your behalf.

2.3 Information from homeowners (your end users)

When a homeowner submits a quote through your public quote builder or interacts with your customer portal, we collect the information they provide — typically name, email, phone, address, and pool preferences — and associate it with your workspace.

2.4 Usage and device information

We automatically collect limited technical information when you use the Service, including IP address, browser type, operating system, pages viewed, and timestamps.

2.5 Cookies and similar technologies

We use strictly necessary cookies to keep you signed in and to remember your preferences. We do not use advertising cookies. Our authentication provider (Supabase) sets session cookies on our behalf.

3. How We Use Information

We use the information we collect to:

• Provide, operate, and maintain the Service
• Authenticate you and keep your account secure
• Process payments and manage subscriptions
• Send transactional emails (quotes, signatures, invoices, portal invites)
• Notify you of activity in your account (new leads, accepted quotes, payments)
• Respond to support requests
• Improve the Service by understanding aggregate usage patterns
• Comply with legal obligations and enforce our Terms of Service

4. How We Share Information

We do not sell personal information. We share information only in the following circumstances:

4.1 Service providers (sub-processors)

We rely on a small number of vendors to operate the Service. Each has its own privacy practices:

• Supabase — database, authentication, and file storage
• Vercel — application hosting
• Resend — transactional email delivery
• LemonSqueezy — subscription billing (if you’re a paying customer)
• Stripe — invoice payment processing (only if you enable the Stripe integration; Stripe becomes the data controller for cardholder data)
• QuickBooks / Intuit — accounting sync (only if you enable the QuickBooks integration and authorize the connection)

4.2 With your authorization

We share information with third parties when you direct us to — for example, when you enable an integration or invite a team member.

4.3 Legal reasons

We may disclose information if required by law, subpoena, or other valid legal process, or if we reasonably believe disclosure is necessary to protect our rights, your safety, or the safety of others.

4.4 Business transfers

If PoolQuote Pro is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction. We will notify you of any change in ownership or control.

5. Your Rights

Depending on your location, you may have the following rights over your personal information:

• Access: request a copy of the information we hold about you
• Correction: update inaccurate or incomplete information
• Deletion: request that we delete your information, subject to limited retention requirements
• Portability: request a machine-readable copy of your data
• Objection: object to certain processing activities
• Withdraw consent: where we rely on consent, you may withdraw it at any time

To exercise these rights, email support@poolquotepro.com. We will respond within 30 days. If your request concerns data our users uploaded about their own customers, please contact the relevant pool-builder user directly — they are the data controller for that information.

6. Security

We use industry-standard safeguards including encryption in transit (TLS), encryption at rest for our databases, multi-tenant isolation, and role-based access controls. No system is perfectly secure, however, and we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately.

7. Data Retention

We retain account information for as long as your account is active and for a reasonable period afterwards to handle potential disputes, comply with legal obligations, and prevent fraud. You may request earlier deletion at any time.

8. International Transfers

Our service providers may process your information in the United States and other countries. Where required, we use appropriate safeguards such as standard contractual clauses to protect transferred information.

9. Children

The Service is not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with information, contact us and we will delete it.

10. California Residents

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and the right to opt out of any “sale” of personal information. 11. European Residents

If you are located in the European Economic Area, the UK, or Switzerland, our legal basis for processing your information depends on the specific activity — contract performance (providing the Service), legitimate interests (security, improving the Service), consent (marketing emails), or legal obligation. You have the right to lodge a complaint with your local data protection authority.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be announced via email or through the Service. The “Last updated” date at the top of this page reflects the most recent version.
